Every missed call is a job that might have gone to the next firm on the list. When you cannot get to the phone, I answer it in a natural voice, using what I know about your business, and either pencil the job in for your yes or take a clear message. A pencilled booking holds its slot until you approve it or dismiss it, and you get a WhatsApp with an Approve it button. On a receptionist number that can take texts, I answer those too, with the same approval rules. It books the way you would

How I offer times is up to you: exact start times, mornings and afternoons, or your own slots like 8 to 10 and 10 to 12, on the days and hours you work. Offer a window and that’s what the caller is told, what their confirmation says and what shows on the job. Ask for a time the engineer can’t reach and I say so and offer one that works. Addresses are checked, never guessed: I look the postcode up against the Royal Mail address file and read the real address back. A recognised number starts the call knowing the last three months of texts and calls, and a customer on a different number is found by name and postcode.

Out of hours, and when it matters

Outside your hours I can tell callers you are closed, take their details and say which day you will ring back, worked out from your real opening hours. If you turn out when closed, switch on emergency cover and I offer to get somebody out instead. A caller who smells gas gets the national gas emergency number on the call and by text afterwards, and you get an alert straight away.

Put through to a person, live

Some calls need one of you. Switch on live transfer and I put an emergency through to your team at any hour, and a caller who asks for somebody while you are open. I take their details first, so nothing is lost if nobody picks up. Then I ring the people you pick, up to six of them at once. Whoever answers hears who is calling and why, and presses 1 to take it, so a voicemail never swallows the call. If nobody does, the caller comes back to me, I tell them the team has their message, and I can still book them in.
