Book a job as certificate work and it offers the right certificate in one tap, with the client, property and engineer filled in. At an address you’ve been to before I offer the appliances on file and the current tenant, with the readings left blank to re-measure. Scan the data plate instead of typing the serial, on boilers, oil burners, cylinders, oil tanks and AC units, and scan the flue gas analyser screen for the readings. I only fill in what I can actually read. Doing a service record and a CP12 on the same job? Copy readings brings the appliance, combustion readings and tightness test straight across. None of it needs signal: the forms are on the phone before you go down, the Certs tab reaches them without going through a job, and it all uploads itself back in range. Only emailing it to the customer waits for a connection. Need the gas rate or the installation volume? The gas calculators drop their results straight onto the certificate.

Gas and oil, the whole set

CP12s, warning notices, service, breakdown and commissioning records, testing and purging, catering inspections and unvented G3. LPG Gas Safety Records cover properties on bottles or a bulk tank, and Non-Domestic Gas Safety Records fit shops, restaurants and plant rooms on one landscape page, even with five appliances. On oil I do all five OFTEC forms, and they talk to each other: the CD/10 finds the tank assessment and service report already on file, and a failed check offers the CD/14 warning notice already filled in. Your Gas Safe number and each engineer’s licence number go on every gas record, typed once, and I won’t let a certificate be approved under a Gas Safe licence that has run out. OFTEC numbers print too and never block a certificate, because oil isn’t licensed the way gas is. There is a walkthrough for each in the help centre.

Air conditioning, heat pumps and water hygiene

For F-Gas work there’s a Leak Check Record, an AC Commissioning Certificate, an AC Service Record, a Refrigerant Pressure and Tightness Test and a Refrigerant Evacuation Certificate. On a leak check I work out the CO2 equivalent and the legal check interval, then book the next check into your service reminders, and a commissioning certificate sets up the system record so later visits start filled in. The Heat Pump and Hot Water Cylinder Service Record covers the annual service on an air or ground source heat pump, with flow and return temperatures and system pressure. It’s your own record of the service, not an MCS certificate, which only MCS can issue. For water hygiene there are Legionella Risk Assessments rated Low, Medium or High, and Chlorination Certificates to BS 8558 that can go out “Awaiting lab” and be corrected when the result lands. A risk assessment isn’t a water sample, and it doesn’t certify a property free of legionella.
